About the opportunity:
We are seeking a proactive and detail-oriented Workplace and People Coordinator for a 12 month contract to play a pivotal role in managing the day-to-day logistics of our office sites, and supporting employee engagement across the APAC region (Singapore, HK, Sydney, Tokyo, and Seoul).This dynamic role combines workplace management and people administration, ensuring seamless office operations, fostering a positive and inclusive culture, and delivering exceptional support for employee wellness, benefits, and leave processes. You will report directly to the Regional Partner, APAC and have a dotted line to our global workplace team.
The day to day:
Workplace
Manage day-to-day logistics of multiple office sites under the direction of the Workplace Director and Regional People Partner
Coordinate various internal events, team-bonding activities, and related employee wellness and culture initiatives, at the office and regional level
Point of contact for all APAC moves both internal and external
Work with internal clients, property managers, outside vendors, and contractors including cleaning and maintenance teams to ensure facilities are operational
Manage specific office(s) day-to-day functions including in-office snack replenishments, meal ordering support, and setting up and liaising with couriers
Manage JIRA tickets assigned and resolve issues promptly
Submit spend requests according to the assigned budget
Assist with daily operations, such as data entry, file maintenance, mail delivery, and responding to inquiries and questions
Manage and update SOPs for offices under their responsibility
Maintain health and safety protocols, policies, and procedures of all offices under their responsibility
Create a safe, fun, and diverse culture that fosters a positive working experience
Completes other tasks as directed and assigned.
People Admin
Check and approve childcare leave, extended childcare leave, sick leave, paternity and maternity leave, and hospitalization leave, and enter any leave of absence as applicable.
Preparing and drafting employee letters including but not limited to visa letters, certificates of employment, and contract extension letters
Update information on the Lens including public holiday calendars and any new policies as applicable.
Assist the benefits manager with any information required for local insurance renewals and coordinate any presentations.
Completes other tasks as directed and assigned.
What you’ll bring to the role:
1-2 years of Business Administration, Facilities/Workplace, Human Resources or similar field experience required
Experience working with vendors/contractors preferred
Basic knowledge of building upkeep is required
JIRA familiarity is preferred, but not required
FMP preferred, but not required
Strong Customer Service skills
Passionate about delivering an incredible employee experience
Results-driven and outcomes-focused
Excellent interpersonal and communication skills and natural ability to build trust
relationships
Proven ability to adapt and thrive in a fast-paced, high-growth environment
Detail-oriented, with excellent organizational and priority management skills

Proficient in English, both spoken and written
Intermediate experience with MS Excel or Google Sheets preferred
